When the Journey Becomes Part of the Experience
A privately chartered train, bespoke branding and onboard catering, and a customer event where the journey itself became part of the experience.
In September, Mitas welcomed its business partners and distributors to the Czech Republic for a program that combined exploring Prague and discovering Czech culture and history with a visit to the company’s manufacturing plant in Otrokovice, around 300 kilometers from the capital.
To connect the two destinations, we chose to travel by private train. It was a practical solution that made it easier to coordinate the program, but it also offered a more sustainable alternative to travelling separately by car or organizing road transport for the entire group. Most importantly, it turned the journey into more than just a transfer. With catering on board and time to relax and connect, guests could continue networking and enjoying the event along the way.
The train was therefore much more than a means of transport. It became a natural extension of the event itself.
Behind the Scenes of a Private Train
Chartering a train is one thing. Transforming it into a branded, comfortable space that reflects the client’s identity is another challenge altogether.
Creating a branded train involves preparing the artwork, coordinating closely with the rail operator, and ensuring that every element meets technical and safety requirements. Catering requires just as much attention. Food and drinks must be delivered at the right time, in the right quantities and served comfortably within the limited space on board even while the train is travelling at speeds of up to 160 km/h.
Then there is the wider logistics: coordinating the timetable, organizing guest boarding, aligning the train journey with the rest of the program, and making sure every supplier knows exactly what needs to happen and when.
Each detail matters. The aim is for everything to feel effortless for guests, even though achieving that feeling takes careful planning, flexibility, and close collaboration behind the scenes.
Sustainability Goes Beyond the Journey
The work does not end when the guests arrive at their destination. Once the train journey is over, the team still needs to remove the branding, dismantle and collect equipment, clean the space and hand it back to the rail operator in the agreed condition.
These final steps are an important part of event production, too. They also offer an opportunity to think more carefully about sustainability: Which materials can be reused? What can be saved for future events? How can unnecessary waste be avoided?
Choosing rail travel can be one step towards a more sustainable event, but it is only part of the bigger picture. A thoughtful approach considers the entire process from the initial concept and choice of suppliers to materials, logistics and the final clean-up.
Often, it is these less visible decisions that make the biggest difference to how responsibly an event is delivered.
Great Experiences Are a Team Effort
The Mitas event showed how a well-designed guest experience and a more considered approach to sustainability can work together. With the right concept, careful planning and strong coordination, even a journey between two destinations can become a memorable part of the event.
We would like to thank Mitas for their trust, as well as all the suppliers and partners who helped bring the project to life. Their professionalism, flexibility and teamwork were essential to making the whole experience run smoothly.
